Ohio University's Tableau server contains over 35 published dashboards in 5 topic folders, accessed by 140+ users across 25 departments who regularly attend and participate in monthly data users meetings and feedback sessions. How did OHIO create all this? It was all by design. Alyse Carter Schultz, Institutional Research and Planning Analyst at Ohio University, will discuss how OHIO applied the principles of Human-Centered Design Thinking to modernize their data systems, train analytics users, and create an active and data-hungry community. See examples of workflows, design standards, training resources, and a live demo of OHIO's Data Navigator (built in Tableau!). This popular session was first presented at AIR Forum 2023.

The concept of data friction emerged from studies of the social and material factors that slow down the transfer and sharing of data within the global scientific community, but we see friction serving as a barrier to higher education data—even within institutional contexts. A recent Science article notes that higher education institutions are data rich but "data blind" (Borgman & Brand, 2022), due to a lack of infrastructure thinking, but approaching this challenge through the lens of data friction allows us to identify the specific sites in our institutions that could use a little oil to keep the data flowing smoothly. This session with the University of South Carolina Upstate explores the specific material and social friction points associated with Academic Performance Management data, then identifies strategies for overcoming data friction to help realize greater efficiencies in course offerings and faculty workload.

Paths to Learning: Course Needs Planning

Students and academic advisors face a critical issue in the lack of available seats in necessary courses. This challenge primarily arises due to enrollment managers' inability to predict course demand accurately. To mitigate this, USC uses DegreeWorks Student Education Plan (SEP) to facilitate personalized degree planning. The USC Analytics and Data Governance team is working in collaboration with the Registrar's Office, the Data Warehouse team, and Academic Advising to develop a visual analysis of projected course/seat needs based on currently available course seats on the schedule and DegreeWorks SEP. While still a work in progress, we plan to create a comprehensive dashboard for enrollment managers in the colleges. This tool will ideally update multiple times daily, extracting data from a variety of sources to offer an easily interpretable visualization of key metrics such as planned seats, maximum seats, registered students, and available seats.

We all work with a variety of data users—the data avoidant, data novice, data overconfident, data fluent and data superuser—and they all have their needs (and opinions!). Our data consumers bring with them a wide range of data understanding, skills, and literacy presenting some of the most common and difficult challenges to providing actionable decision-support across campus.

From Anomalies to Insights: Streamlining University Data for Better Benchmarking

Join financial leaders from Stony Brook for an overview of how they used DataFlex to improve the quality of administrative data that flows into the HelioCampus Benchmarking platform. The session describes how the University observed anomalies in initially submitted data, how the DataFlex information is regularly extracted to populate a Tableau dashboard and provide raw data to business analysts, and how these analysts work with units to review and revise allocations of effort across the HelioCampus Standard Activity Model.

The result of this work will be shared, highlighting how the improved benchmarking results supported by validated data better reflect the University’s actual state. The process has led to a better understanding of their own data, and it has included business areas as partners with “skin in the game.” The Stony Brook team anticipates that future use of the data supported by this validation process will ensure that senior leadership can make the most informed decisions on strategic objectives while maintaining operational efficiency.

Join Dr. Robert Kelchen from the University of Tennessee, Knoxville to learn about his upcoming research project that examines the relationships between enrollment and institutional spending. Dr. Kelchen is a nationally recognized scholar who is regularly ranked by Education Week as being one of the 25 most influential education professors in America and is regularly quoted in national media outlets. He is associate editor of Research in Higher Education, data editor for Washington Monthly magazine’s annual college guide and rankings, and received the Excellence in Public Policy in Higher Education award from the Association for the Study of Higher Education’s Council on Public Policy in Higher Education in 2023.

Ohio University's Tableau server contains over 35 published dashboards in 5 topic folders, accessed by 140+ users across 25 departments who regularly attend and participate in monthly data users meetings and feedback sessions. How did OHIO create all this? It was all by design. Alyse Carter Schultz, Institutional Research and Planning Analyst at Ohio University, will discuss how OHIO applied the principles of Human-Centered Design Thinking to modernize their data systems, train analytics users, and create an active and data-hungry community. See examples of workflows, design standards, training resources, and a live demo of OHIO's Data Navigator (built in Tableau!). This popular session was first presented at AIR Forum 2023.

Overcoming Data Friction to Improve Academic Performance

The concept of data friction emerged from studies of the social and material factors that slow down the transfer and sharing of data within the global scientific community, but we see friction serving as a barrier to higher education data—even within institutional contexts. A recent Science article notes that higher education institutions are data rich but "data blind" (Borgman & Brand, 2022), due to a lack of infrastructure thinking, but approaching this challenge through the lens of data friction allows us to identify the specific sites in our institutions that could use a little oil to keep the data flowing smoothly. This session with the University of South Carolina Upstate explores the specific material and social friction points associated with Academic Performance Management data, then identifies strategies for overcoming data friction to help realize greater efficiencies in course offerings and faculty workload.

Paths to Learning: Course Needs Planning

Students and academic advisors face a critical issue in the lack of available seats in necessary courses. This challenge primarily arises due to enrollment managers' inability to predict course demand accurately. To mitigate this, USC uses DegreeWorks Student Education Plan (SEP) to facilitate personalized degree planning. The USC Analytics and Data Governance team is working in collaboration with the Registrar's Office, the Data Warehouse team, and Academic Advising to develop a visual analysis of projected course/seat needs based on currently available course seats on the schedule and DegreeWorks SEP. While still a work in progress, we plan to create a comprehensive dashboard for enrollment managers in the colleges. This tool will ideally update multiple times daily, extracting data from a variety of sources to offer an easily interpretable visualization of key metrics such as planned seats, maximum seats, registered students, and available seats.

From Anomalies to Insights: Streamlining University Data for Better Benchmarking

Join financial leaders from Stony Brook for an overview of how they used DataFlex to improve the quality of administrative data that flows into the HelioCampus Benchmarking platform. The session describes how the University observed anomalies in initially submitted data, how the DataFlex information is regularly extracted to populate a Tableau dashboard and provide raw data to business analysts, and how these analysts work with units to review and revise allocations of effort across the HelioCampus Standard Activity Model.

The result of this work will be shared, highlighting how the improved benchmarking results supported by validated data better reflect the University’s actual state. The process has led to a better understanding of their own data, and it has included business areas as partners with “skin in the game.” The Stony Brook team anticipates that future use of the data supported by this validation process will ensure that senior leadership can make the most informed decisions on strategic objectives while maintaining operational efficiency.
