New York Tech is a private research institution established in 1955 and whose main campus is in Old Westbury on Long Island. With nearly 8,000 total students, their student body is ranked the most diverse in the U.S. Over time, New York Tech's leadership realized the institution's infrastructure would have to evolve if they were going to make the data they needed to inform key strategic decisions more widely available.
Knowing they needed a more modern data infrastructure and platform to serve as a trustworthy, single-source of truth for their institution, New York Tech partnered with HelioCampus to make the shift.
How New York Tech Created a Culture of Data Governance with HelioCampus
Build a Contemporary Infrastructure
New York Tech faced many challenges: data leakage, siloed data sets, too many reporting tools and destinations. These challenges caused uncertainty and confusion around the data, making it difficult for users to feel confident in the data or their decisions. Partnering with HelioCampus helped them bring together various data sources within a robust, centralized, and transparent platform. This allowed them to quickly set up data models and validate the data user's needed most — turning what could have been a years long implementation into a process that only took months.
Foster Trust in the Data Across Campus
The technical implementation of a new and improved data platform was only half the battle. The New York Tech team also needed to ensure they had the proper stewardship processes and structures in place to support users. To do this, they developed a charter for data governance that outlined policies, procedures, security, compliance, architecture, and more. In addition, they created a data fluency course to ensure that users know how to use the HelioCampus platform and a data dictionary to establish a common language around data across the institution.
Mature Data Processes Over Time
The New York Tech team knew that the success of their data governance initiative, and their institution's ultimate ability to answer critical questions about financial aid and recruitment, would be contingent on its' maturation over time. Following Data Management Association International's data maturity check-in rubric, they continuously evaluate their data processes, the effectiveness of their implementation, and ensure they stay one step ahead of any potential challenges down the road. As Becky Frieden puts it: "Data governance is not a project. It doesn't end."
The Next Steps
Moving forward, the New York Tech team looks to continue data model training and extracts while expanding their number of users. Frieden and her team are also looking to implement HelioCampus’s Academic Performance Management and LMS Insights solutions to better understand their programs and engagement factors at a deeper level and develop a systemic methodology for leveraging the platform.
